The following community events policy was updated by the ACB Board of Directors on May 18, 2026.
ACB Community Events Guidelines
1. Submitting Events
1.1 Community Definition
A Community event must include audience participation.
1.2 Platform Requirement
ACB Community Events will originate on an ACB-sponsored Zoom account.
1.3 Weekly Deadline
Submit events by Wednesday of the prior week using the Event Planners Form. Late submissions may be included in the daily schedule if received by 4:00 PM ET the previous business day.
1.4 Recurring Events:
Recurring events only need to submit when details change.
1.5 Cancellations
Cancellations must be sent to community@acb.org no later than 4:00 PM ET the previous business day.
2. Facilitator & Host Expectations
2.1 Core Responsibilities
- Uphold ACB Core Values
- Follow the Policy on Prohibited Conduct
- Maintain a safe, respectful, and welcoming environment
2.2 Staffing Requirements
Each event must have:
- A facilitator age 18 or older
- An ACB-qualified host
- Facilitators must arrive 10 minutes early
- Events will be canceled if the facilitator is not present at the scheduled start time
2.3 Scheduling & Length
- Events are one hour by default
- Facilitators may request 30, 90, or 120 minutes
- Longer events require approval
- No more than three events may start at the same time
2.4 Zoom & Event Management
- All events are held on ACB Zoom accounts
- Hosts manage Zoom controls
- Hosts, or streamers if the call is streamed, must play recorded opening instructions
- Waiting Room and locking the meeting are not permitted
- Zoom information must not be shared on public websites, social media platforms, or any publicly accessible online space. Sharing within private, closed groups is permitted.
2.5 Materials & Demonstrations
- Materials to be shared in an event must be submitted to community@acb.org by the previous business day
- All music must include complete metadata and may only be used on licensed media channels
- Demonstrations - including technology (websites, apps, screen reader use), cooking, crafting, or similar activities—must be pre-recorded and played by the assigned streamer, broadcaster, or host. Interactive instructional segments not suited for pre-recording may be coordinated in advance.
2.6 Recording of Events
- All events are recorded and stored for two weeks
- Recordings are used only for policy review unless prearranged for podcasting or replay on ACB Media
- Recording exemptions require a formal proposal to, and approval by, the Community Support Committee
2.7 Support and Guidance
- Facilitators who need assistance preparing materials or recorded demonstrations are encouraged to reach out to community@acb.org to be matched with a volunteer editor
- Members of the Community Support Committee are available to provide guidance and support to facilitators in planning and delivering Community Events
2.8 Content Use
- Written permission is required for third-party content and should be emailed to community@acb.org
- Crediting the source does not replace permission
2.9 Compliance
- Violations of this policy may result in removal from the Community platform
- ACB may decline events at its discretion
3. Participant Expectations
3.1 Community Standards
Participants must uphold ACB Core Values and the Policy on Prohibited Conduct.
3.2 Safety & Privacy
- Personal information should not be shared. Those wishing to connect should email community@acb.org.
- Zoom meeting information must not be shared on public websites, social media platforms, or any publicly accessible online space.
3.3 Recording Awareness
Events are recorded and retained for two weeks.
3.4 Behavior & Resolution
Concerns will be addressed and reviewed as needed.

- Concerns reaching the level of behavior described in the Policy on Prohibited Conduct should be Reported via email or phone.
6. Zoom & Copyright
ACB adheres to the Zoom Terms of Service, which can be reviewed at Zooms Terms of Service.
7. Accountability
- All participants, facilitators, hosts, streamers, and broadcasters share responsibility for ensuring that ACB Community Events remain safe, respectful, and welcoming.
- Concerns or potential violations of this policy should be reported in a timely manner by emailing community@acb.org so they can be reviewed and addressed appropriately.
- Substantiated violations of this policy may result in temporary or permanent removal from participation in ACB Community Events.
